Overview:
The Documentation Management team is a new team comprised of functions that support the end-to-end life cycle of legal documentation. The team will directly support the Sales organization from contract creation, to engagement of the client, Legal (for negotiation), and finally, through receipt of the executed documentation. The team will provide expertise in client documentation to facilitate an effective process and improve the client experience. Key stakeholders also include: Risk, Legal, Product, Wholesale Client On Boarding (WCOB), and Client Information (CID). We are looking for individuals who have an enthusiasm and passion for driving change, a desire to improve the client experience, and a commitment to service excellence.
The Client Documentation team has established a global footprint throughout 2013, including locations in Sydney, Hong Kong, New York, Delaware, London, Bournemouth and India.
This new team will work with multiple internal partners and clients, across Investor Services. The core responsibilities include creating document packages, reviewing existing documentation on file, tracking documents throughout the life cycle, ensuring adherence to internal SLAs and client due dates, ensuring documents receive the appropriate approvals, ensuring required levels of quality control have been met prior to end state storage in the document repository, and ensuring adherence to global policies and standards. The team will provide subject matter and process expertise in client documentation.
Key Responsibilities
Receive, review, record and safeguard client documentation in an electronic document repository system, within prescribed timeframes.
Ensure tracking and timely execution of documentation of all required documentation.
Interact with management at different levels to ensure that appropriate business approvals are in place.
Ensure all documentation conforms to the Bank's policies, standards and control responsibilities as set out in the team standard operating procedures and checklists.
Authenticate authorized external and internal signers.
Monitor and manage the documentation library and adherence to defined change control processes .
Build strong relationships with upstream and downstream partners.
Perform Quality Control activities e.g. metadata capture for documentation record in electronic document repository. system, physical vs. soft copy documents, document indexing, scanning and archiving functions.
Ensure adherence to retention policy, industry mandates and regulatory policies.
Manage and complete electronic and physical storage of documentation.
Raise workflow issues to the attention of the supervisor/manager in a timely and effective manner and propose process improvements.
Assist with document remediation projects as and when required by the business.

Qualifications
Undergraduate degree or equivalent experience
Strong analytical skills, should be able to review and analyze information from multiple sources and determine relevancy to specific issues
Excellent communication skills, both verbal and written
A team player with strong control mindset and focus on conformance to policies and industry mandates
Self starter, strong desire to learn the business and go the extra mile
Flexible and able to adapt to a changing environment and changing priorities
Detailed oriented with a keen eye for details and focus on data accuracy
Comfortable working with online Documentation Management software or general workflow applications preferred
Interest in learning new skills in a non-static, constantly changing environment
