Exempt (full time) About the Food Bank of Delaware The mission of the Food Bank of Delaware is to provide nutritious foods to Delawareans in need and facilitate long-term solutions to the problems of hunger and poverty through community education and advocacy.
The Food Bank's team is dedicated to building community awareness and creating an efficient food distribution network to eliminate hunger in Delaware.

Position Summary The Executive Assistant, (EA), provides high-level administrative support to the Food Bank's President & CEO, (CEO), and serves as the primary staff liaison to the Food Bank's Board of Directors, (BOD).
Additionally, the EA provides administrative support to the Leadership team using extensive knowledge of the organization, policies, and a high level of technical skill.
This position operates with considerable independent judgment and initiative, and collaboration with teams throughout the organization.
This position requires exceptional planning, calendar management, organizational skills, and a strong presence in all communication types.
The EA needs to be highly resilient and adaptable to constantly changing business priorities.
The EA needs to be proactive, have meticulous attention to detail and execution of all responsibilities.
Additionally, the EA should have strong judgment, decision making skills and be highly proactive/forward planning.
Major Responsibilities and Essential Functions Provides high-level administrative support to the CEO, including proactively managing calendar, scheduling meetings, preparing agendas, organizing files, and assisting with planning internal events.
Provides administrative support to Leadership Team and handles or resolves matters not requiring personal attention of Team.
Coordinates and accurately maintains the CEO's calendar to optimize time and information sharing.
Proactively makes alternative arrangements with conflicts of scheduling.
Manages all meeting and event related logistics, including organizing & scheduling virtual calls, sending reminders, reserving & setting up meeting rooms, managing food & refreshments, creating agendas, distributing meeting materials, taking minutes, etc.
Creates and submits POs and expense reports for the CEO.
Compiles and submits travel vouchers and records.
Submits vouchers for reimbursement of expenses if applicable.
Reads and analyzes documents requiring the CEO's signature and facilitates the signing process as needed.
Manages systems to organize and maintain official hard copy & electronic records on behalf of the CEO.
Works with the CDO and/or the Vice President of Communications to ensure that the CEO is briefed and prepared for any interviews and public speaking events with talking points, run of show, etc.
Replies to phone calls and emails on behalf of the CEO, as needed.
Responds promptly and professionally to internal and external requests for information or support.
Monitors deadlines, follows up on delegated tasks and provides appropriate reminders.
Works closely with the Development department to support the CEO's donor stewardship efforts.
Juggles multiple, high priority issues in a professional, courteous manner on an ongoing basis.
Provides logistical and administrative support at all virtual and in-person Board of Directors (BOD) and committee meetings.
Develops annual BOD and committee meeting calendar, uses established tracking calendars to help create agendas, drafts resolution documents, records meeting minutes, and maintains permanent records of all BOD and Committee meeting materials.
Proactively monitors and tracks any follow-up items to ensure timely completion.
Tracks BOD engagement and meeting attendance.
Compiles annual BOD matrix, including skills and demographic information.
Assists with annual BOD orientation and retreat.
Updates and maintains BOD portal and ensures all necessary documents are available and accessible.
Maintains all BOD resources, including by-laws, policies, member lists, etc.
Facilitates annual distribution and compilation of annual Conflict of Interest and Whistleblower Policy attestations per Food Bank policy.
Assists the CEO with the development and tracking of organization-wide strategic plans, annual work plans, and DEI efforts.
Assists with the preparation of presentations and materials for internal and external meetings.
Drafts, proofreads, and edits mailings, correspondence, memorandums, pre-approved contract templates and other documents as needed.
Assists the CEO with scheduling, planning, and organizing Leadership Team meetings.
Helps facilitate strategic discussions and project implementation/prioritization with Leadership members, as needed.
Manages all travel arrangements for the CEO, including conference registration, hotel & flight reservations, or car rentals, as needed.
Prepares and reviews itineraries with the CEO in advance.
Qualifications and Experience Five years of administrative support experience, with a minimum of two years' experience providing support to an executive or high-level manager.
Ability to manage multiple projects with attention to detail, handle interruptions, maintain focus on tasks, and produce accurate work.
Ability to communicate effectively both orally and in writing.
Ability to make presentations and develop reports.
Computer literate.
Must be proficient with Microsoft Windows and Office environment (Power Point, Word, Excel, Outlook) and standard office equipment.
Expert knowledge of English grammar, spelling, and usage.
Strong problem-solving skills.
Ability to establish and maintain effective working relationships with diverse stakeholders.
Ability to work independently and as part of a team.
Ability to self-direct, set and adhere to deadlines.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
