Responsibilities:
- Provide direct support to Construction Project Managers - Assist with office management tasks, such as organizing files and maintaining supplies - Utilize Google Suite and Microsoft Office to create and edit documents, spreadsheets, and presentations - Proofread and transcribe construction-related documents as needed - Assist with coordination of construction meetings, prepare agendas, meeting minutes and ensure follow up actions are completed - Coordinate projects by scheduling meetings, tracking progress, and ensuring deadlines are met -Assist construction project managers in the creation of budgets and project schedules -Manage the subcontractor RFP process by creating and distributing bid packages, tracking incoming proposals, and sending related correspondence -Maintain contractor files to include work logs, job information sheets, and project team rosters.
-Oversee construction contract administration and ensure that the contract requirements are being adhered to regarding documentation -Perform billing tasks - prepare invoices, subcontracts, change orders, work orders, purchase orders and punch lists.
-Assemble close out packages including maintenance agreements, equipment information, warranties, and contractor information - Maintain an organized work environment to ensure efficient operations
Qualifications:
-High school diploma or equivalent is required - some college preferred -Three years of experience in an administrative or assistant role; Construction services experience preferred - Proficiency in using Microsoft Office and Google Suite for document creation and collaboration - Excellent organization, time management, attention to detail, and communication skills are required - Ability to work independently as well as with a team - Strong proofreading skills with attention to detail - Understanding of the construction industry and processes are beneficial - including codes, AIA documentation and safety regulations -Basic accounting, bookkeeping and math skills are desired.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
